Currently, our vault tellers use a journal with ledger paper to record vault totals, including previous day totals by denomination, money sold to (bought from) individual tellers through the current day, and ending totals by denomination.  The vault teller is supposed to process buy/sell slips throughout the day in our core system, Symitar.  At the end of the day, the vault teller agrees the totals calculated in the manual journal (ledger paper) to the core system’s totals (cash count).  Moreover, the vault teller has to enter the totals by denomination into our core system to arrive at the aforementioned system totals.  We also use the journal to indicate who had responsibility for the vault (we use a sole custodian process).We are looking at creating an excel spreadsheet to record vault totals manually versus the old ledger paper method with appropriate cells locked down and digital signatures and other various macro functions.My questions are:How many of you still use a manual recording system similar to what I described above?Have you converted to an electronic system (off the core system) to record vault totals?  If so, what did you use (i.e., Excel, a form created via IT, etc.)?  If able, would you mind sharing your spreadsheet/method?Thanks, Dan Elston, CPAInternal Audit ManagerBayPort Credit Union[email protected]
